We are looking for an Administrative Assistant in Gatwick, UK to join our growing Intradco Global team. If you have a passion for the logistics and have love for animals – we are eager to hear from you.

Purpose of the Role

  • To provide the Global Business Administration & People Manager with support in data entry and administrative assistanceacross a wide range of functions, ensuring the smooth running of the business’s administration
  • To provide administrative supportwith accounting tasks and supporting the wider teams with accounting tasks and queries
  • To provide the commercial team with administrative supporting order to ensure compliance with the company’s legal processes and maintaining an excellent service for both suppliers and clients
  • To provide ad-hoc support when required on Company initiatives or projects

Key Responsibilities of the Role

  • Verify accuracy of data by comparing it to source documents and correcting errors, working closely with other team members to resolve data-related issues or discrepancies
  • Managing a high workload with multiple tasks and deadlines efficiently, and prioritising effectively to ensure important matters are addressed in a timely manner
  • Handling sensitive, personal, confidential information and documentation with care, and maintaining confidentiality and discretion at all times
  • Preparing agendas, taking accurate and detailed minutes, generating follow up overviews
  • Organising, updating and maintaining electronic files, documents, records, and inventories
  • Health and safety – assisting with implementation and record keeping of policies, assessments (risk, fire, electrical etc) and audits in relation to our warehouse, company vehicles, and employees
  • Assisting with ensuring staff are compliant with internal and external processes
  • Providing ad hoc support and assistance in special projects or initiatives as required
  • Verifying sales invoices for approval and entering into our in-house systems
  • Assisting with debtors and creditors logs, asset and inventory management and with obtaining and sharing of KYC documentation following required procedures
