Purpose of the Role

To effectively manage the OBC team in the U.S. and to ensure the achievement of individual, team and company objectives.

To train and guide the OBC team and ensure that they adhere to company guidelines and follow best practices in order to minimize company liability and exposure.

To be a hands-on and proactive manager creating a respectful and balanced team atmosphere.

To work closely with local OBC Operations and OBC Sales and provide hands on support.

To actively contribute in building a positive, hardworking and fun environment for staff.

To build strong productive relationships with clients to ensure business objectives are achieved.

To evaluate customer business needs and logistics/courier requirements and format an effective plan to meet such needs and requirements.

To participate in internal and external staff or office related meetings with the OBC President/CF President if and when required ensuring an adequate flow of information updating local and global team manager within OBC.

Key Job Responsibilities

To actively manage all recruitment activities for OBC supported by the In-house Recruiter, e.g. to organize and attend interviews, provide candidate feedback, working in collaboration with the OBC Operations and Sales.

To coordinate On boarding of new employees as per the agreed Group HR process using the On-boarding Checklist and to make new staff feel welcomed and provide a first point of contact for all new employees, working in collaboration with the OBC Operations and Sales.

To coordinate an efficient training schedule for new staff making sure that all training aspects of the role are covered.

To create training manuals and training exercises for new starters in line with all material that is used to train employees.

To assist the OBC Operations in completing 2-3 introductory reviews during the introductory period, to follow up on any staff questions and to proactively manage performance during this time.

Performance and career management for all staff, including training requirements following the Group HR processes, working in collaboration with the OBC Operations and/or OBC Sales.

Set targets for the team’s annual expectations in conjunction with performance and training as well as providing guidance to the team on delivery of key responsibilities and monitor individuals’ progress against the set team targets, in collaboration with the OBC Operations and Sales.

Holiday and attendance management to document absence, sickness and manage holiday allowance for the US team, in collaboration with the OBC Operations and Sales.

Monitor team activity and create monthly reports for senior management as required.

Salary and bonus management as per the agreed Group HR process and to manage any adjustments to salary.

Update the Group HR department with new and updated staff information so changes can be made on the internal HR database and the individual electronic employee file.

Update and maintain employee paper files for all staff.

Make sure that employee data is updated and aligned on both the paper employee files and People HR.

To manage the leavers process in line with the agreed Group HR process, working in collaboration with the OBC Operations Manager.

To arrange staffing and teambuilding events as agreed with the OBC President in line with the Group HR processes.

To assist and support the OBC President with any queries in regards to the running and up keeping of the office in Los Angeles, this includes (and is not limited to):

Liaising with insurance providers and insurance brokers to ensure insurance policies are renewed to required timescales and are fully compliant and to maintain yearly records for all OBC local insurance policies.

Manage and maintain all documentation for employees who hold Credit Cards.

Coordinate Health & Safety in line with local legislations.

Coordinate with HR any other mandatory training requirements for the team and all new starters.

Yearly cost budgeting.

To be aware of office expenditure and carefully monitor the costs for the office in line with annual budgets.

Business Development

Provide support for sales activity for new business development.

Proactively identify opportunities to grow the business in new and existing markets to ensure business objectives are met.

Use initiative to identify new potential areas for business development.

Keep up to date with competitor activity to identify business opportunities.

Work in partnership with the OBC brokering team by updating them with all relevant information and supporting them throughout the brokering process.

Leadership

Provide leadership by example and hands-on support to the OBC team.

Foster a highly collaborative, commercial approach to inter-company business encouraging greater communication at all levels.

Provide mentoring, training and development to the OBC team whilst fostering an open, team spirited, business culture.

Provide guidance and direction to all staff and ensure staff remain motivated and enthusiastic whilst creating vision and scope for future developments.
