​Chapman Freeborn is seeking a Cargo Operations Coordinator based in the Fort Lauderdale, FL or Houston, TX areas.

We will provide the successful candidate with training, as well as the industry know-how. Bringing strong professional connections from clients and customer relationship management skills are essential for the successful candidate to bring.​

Purpose of Role​​

  • To provide administrative support to the Americas Cargo sales and broker team.
  • To support and facilitate the flight booking process including management of contracts, invoicing, paperwork, file reconciliation, auditing and closing.
  • To assist the cargo team with daily cargo charter operations.
  • Work closely and directly with clients, carriers, suppliers vendors & various stakeholders to ensure efficient flight and job management.
  • To improve and enhance a more efficient business workflow and operations process for the CF Americas Cargo division

​Key Responsibilities

Trip Management:

  • Ensure inquiries and bookings are correctly entered into Pioneer CRM system (Microsoft Dynamics)
  • Manage on-going trip changes within the Pioneer CRM system (i.e. price changes, schedule changes, supplier adjustments, etc.)
  • Obtain proper documentation from customers and/or Cargo team.
  • Approve client and vendor invoices, demonstrating attention to detail, and ensuring payment is received from clients in a timely, organized manner.
  • Prepare client contracts and flight briefs, as requested, ensuring information is accurate.
  • Keep up to date on latest operational capabilities of aircraft, airports, operators and handlers.
  • Ensure all contracting agreements are accurate and legally compliant.
  • Ensure full compliance with company procedures and protocols.
  • Support the CF Group’s initiative to utilize the Pioneer system to its full extent.

 

CRM and Data Management:

  • Ensure lead, client and vendor data is accurate in Pioneer CRM system(including contact information, billing details and segmentation)
  • Work with the sales team and CF Compliance department to ensure aircraft operator paperwork is up to date
  • Assist in preparing reports and analysis using CRM data.
  • Continuous data cleansing, as required
  • Delivery of professional administrative and managerial support services.
  • Assist the SVP Cargo Americas with data collection and analysis for market research
  • Provide support to on-going projects, as needed, for the Cargo department

Qualifications

  • At least 2 years’ experience working for an airfreight, cargo transport or international logistics company.
  • Bachelor’s degree (or equivalent Associates degree AND direct market experience).
  • A strong and self-motivated work ethic.
  • Excellent attention to detail and an ability to multi-task within a fast-paced environment.
  • An ability to prioritize changing workloads.
  • Excellent problem solving skills.
  • Excellent oral and written communication skills, with the ability to effectively communicate with team members at all levels.
  • Strong CRM administration and data management experience (ideally using MS Dynamics 365)
  • IT literacy and proficiency with Microsoft Office Suite.
  • Project management skills.
  • An ability to understand CF Group products and services, as well as internal processes.
  • Ability to be a team player with collaborative approach to working.
  • Ability to be flexible and willing to take on additional responsibilities and go the extra mile as required.​
